Scuba Finatics (also referred to as “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, store and protect personal information when you use the Scuba Finatics mobile application (the “App”), our related customer services, or contact us about the App.

Our systems may process IP addresses, request timestamps, session identifiers, error information and similar technical data needed to operate, secure and troubleshoot the App. We do not use this information to track you across unrelated apps or websites.

Biometric sign-in

If you enable fingerprint or other biometric sign-in, authentication is performed by your device’s operating system. Scuba Finatics does not receive, collect or store your fingerprint, face scan or other biometric template. The App stores only the protected sign-in information needed to request authentication through your device.

We collect and use information with your consent, to provide services you request, for reasonable business purposes such as security and recordkeeping, and where required by law. You may withdraw consent for optional communications at any time, subject to legal or contractual restrictions. Essential account and service messages may still be sent when necessary to operate your account.

We do not sell or rent personal information. We disclose information only as reasonably necessary to operate the App, provide requested services, protect our users and business, or comply with law.

We may send account-related messages needed to provide the service, including password resets and individual customer messages. Promotional announcements are sent only according to the customer’s marketing preference and applicable law. You may unsubscribe using the link in a promotional email or by contacting us. Unsubscribing from promotions does not prevent essential account or service communications.

When the optional member-access feature is enabled, an eligible member may be assigned a door code. The code and related access identifiers are used to create, update and remove access through the supported lock-management service. Access may be removed when membership eligibility ends. You must keep your code confidential and notify us promptly if you believe it has been exposed or misused.

We retain account and service information for as long as the account remains active, as needed to provide services, maintain legitimate business records, resolve disputes, enforce agreements and meet legal obligations. When information is no longer reasonably required, we delete or de-identify it, subject to backup cycles and legal retention requirements.

You may request deletion of your Scuba Finatics App account by emailing info@ottawascuba.ca or calling 613-821-2423. Include the email address used for the account. After verifying the request, we will delete or de-identify the account and associated personal information unless retention is required by law or for a legitimate reason described in this policy.

We use administrative, technical and physical safeguards appropriate to the sensitivity of the information, including encrypted network connections, hashed passwords, role-based staff access and session controls. No method of storage or transmission is completely secure, so we cannot guarantee absolute security. Customers are responsible for protecting their passwords and door-access codes.

11. Children’s privacy

The App is not directed to children under 13. A parent or legal guardian should manage any account used by a minor where appropriate. If you believe a child has provided personal information without appropriate authorization, contact us so we can review and delete it where required.

The App may display public calendar information or links to external websites. The privacy practices of external services are governed by their own policies. We encourage you to review them before providing personal information.

13. Changes to this policy

We may update this Privacy Policy when the App, our practices or legal requirements change. We will post the revised policy at this location and update the “Last updated” date. Material changes may also be communicated through the App or by another appropriate method.
